Terms of Service

These terms cover your use of LeaseCollab, a lease administration service operated by The Tenant Agency. By creating an account you agree to them. If you are agreeing on behalf of a company, you confirm you are allowed to bind that company.
What the service does
LeaseCollab stores the lease information you enter, works out the deadlines that follow from it, and emails you before those deadlines arrive. It keeps your documents where you can find them and lets the people you invite see the same portfolio.
What it does not do
LeaseCollab is not a substitute for reading your lease, and it is not legal, financial or brokerage advice. Every date it shows is calculated from information you entered. If that information is wrong, incomplete, or entered late, the dates will be wrong too.
Reminders are a convenience, not a guarantee. Email can be delayed, filtered, or refused by a mail server we do not control, and a service can be interrupted. You remain responsible for meeting your own deadlines, and we recommend confirming any date that matters against the lease document itself before you rely on it.
Your account
- Keep your email account secure; anyone with access to it can sign in as you.
- You are responsible for what the people you invite do in your account.
- Do not use the service to store anything unlawful, or to send anything you have no right to send.
- Do not attempt to access another organisation’s data, or to disrupt the service for anyone else.
Plans and payment
Paid plans are billed monthly in advance through Stripe, and renew automatically until cancelled. You can cancel at any time from your settings; cancellation takes effect at the end of the period you have already paid for, and we do not refund part-months. If a payment fails, we may suspend access until it succeeds.
We may change prices, but not for a period you have already paid for. If a price changes we will tell you before it applies to you.
Your data is yours
You keep ownership of everything you put in: lease details, documents, and anything your team adds. We store and process it to run the service for you, and for nothing else. We do not sell it, and we do not use it to train anything.
You can export your portfolio at any time from your settings. If you close your account, tell us and we will delete your data; otherwise we remove it within 90 days of the account becoming inactive.
Availability
We work to keep the service running but do not promise it will always be available. We may take it down for maintenance, and we may change or remove features. If we make a change that materially reduces what a paid plan does, you may cancel and we will refund the unused part of the period.
Liability
The service is provided as it is. To the extent the law allows, we are not liable for indirect or consequential loss, including a missed renewal, a missed termination right, a deposit that was not returned, or rent paid at a rate you could have renegotiated.
Where liability cannot be excluded, it is limited to the amount you paid us in the twelve months before the claim. Nothing here limits liability for fraud, or for anything else that cannot lawfully be limited.
Ending the agreement
You may stop using the service and close your account at any time. We may suspend or close an account that breaks these terms, or that is being used to harm the service or another customer. We will tell you why unless doing so would make the problem worse.
Changes to these terms
We may update these terms. If a change matters to you we will email account owners before it takes effect. Continuing to use the service after that means you accept the new version.
